Cold Email Follow-Up: How Many to Send and When
- 1Day 1: first email
- 2Day 4: add one new thing
- 3Day 9: easier way out
- 4Day 14: last note, door open
- 5Reply: stop at once
The short answer: send your first email, then one to three short follow-ups over seven to fourteen days, and stop. Most replies come after the second or third message, so stopping at one leaves most of the conversations unopened.
A timeline that works
The timeline at the top is a good default. Adjust the gaps for your buyer, but keep the shape: a few days apart, then a longer gap, then a clear last note.
What each message should say
Email 1, day 1. One true fact about their company, what you do in a sentence, one easy ask.
Follow-up 1, day 3 or 4. Two or three lines. Add one new thing: a result, a short example, or a simpler ask. Never write "just checking in" or "bumping this".
Follow-up 2, day 8 or 9. Offer an easier way out: "If a call is too much, I can send a one-page summary instead."
Last note, day 14. Say this is the last one, and leave the door open. It is polite and it often gets the reply.
Rules that keep it respectful
- Stop the moment someone replies, even with a no.
- Honour every unsubscribe immediately.
- Do not send more than three follow-ups to someone who has not answered.
- Include your postal address and a working unsubscribe link in each email, as the CAN-SPAM Act requires in the US. Other regions have stricter rules.
How to track it
Mark each person as new, contacted, replied, call booked, or closed. Then count how many replies came from the first email and how many from each follow-up. That tells you if the second message is worth writing for your list. See how to read your reply rate.
Where Touchbase fits
Following up on time is the first thing that slips when you are building a product. Touchbase schedules the follow-ups, stops them as soon as someone replies, and lists the replies that need an answer. You approve the messages before they are sent.

- How many follow-ups should I send?
- One to three over seven to fourteen days is the common range. If nobody has replied after that, stop and try again in a few months with something new to say.
- How long should I wait before following up?
- Three to four days after the first email, then about five days between the next ones.
- Is following up annoying?
- Not when each message is short, adds something new, and stops when they answer. Silence is usually busyness, not refusal.
